The situation
A 24-truck regional freight carrier has recurring tire and lighting findings. Driver files are stored in several folders, and the owner cannot readily tell which repair items have been closed.
The agreed review
The example scope includes private readiness reviews of 24 trucks, a sample of eight driver qualification files, and the fleet’s recent roadside reports and repair records. The written proposal identifies any trailer work, the review period, onsite availability, and follow-up.
Illustrative findings
| Area | Observed gap | Assigned action |
|---|---|---|
| Equipment | Lighting concerns and tire-condition questions on selected units. | Maintenance verifies the conditions and determines the required corrections and operating restrictions. |
| Driver files | Two sampled files contain annual MVRs without a located review note. | The safety manager verifies the records and completes the appropriate current follow-up without backdating. |
| Roadside follow-up | Three report entries lack a clearly linked repair or disposition record. | The administrator connects each report to the unit, responsible person, and correction evidence. |
What the fleet would receive
- A findings report identifying the items reviewed and the limits of the sample.
- A prioritized action list with responsible people and agreed target dates.
- A tracker connecting each finding to correction or disposition evidence.
- A review meeting to explain the findings and agree on next steps.
How follow-up would work
The carrier handles repairs and operating decisions. If follow-up verification is included, PassPro reviews the agreed evidence and records which items are confirmed closed, still open, or need further verification.
The example demonstrates the process and deliverables. It does not predict fewer violations, a passing agency review, or a change in a safety rating.
